Privacy policy
Effective October 8, 2026
XAVARA LLC (“XAVARA,” “we”) makes the XAVARA app, which dance studios use to run instructor training, schedules, and team communication. This policy explains what we collect through xavara.dance and the XAVARA app, and what we do with it.
Studios own their members’ data
When a studio uses XAVARA, the studio controls its members’ information. We hold and use it only to run the app for that studio, under our written agreement with them. If you are a studio member, the studio is your first contact for questions about your data. You can also write to us.
What we collect
- From this website: the name, studio, website, location, phone, and email you send through the inquiry form.
- From the app: name, phone, email, birthday, profile photo, bio, role, schedules, attendance, hours, program progress, evaluations, messages, comments, and the photos and videos members choose to post.
- Payments: card details go straight to Stripe. We never see or store card numbers.
- Technical data: our hosting providers keep standard server logs, such as IP address and browser type, for security.
We do not use advertising trackers or analytics cookies.
How we use it
- To answer your inquiry.
- To provide the app to your studio: accounts, schedules, progress tracking, messaging, billing, and support.
- To keep the app secure and fix problems.
We do not sell personal information. We do not share it for advertising.
Who we share it with
Only the service providers that run the app and site, and only so they can do that job: Supabase (database and storage), Stripe (payments), Netlify and Cloudflare (hosting), and Google Fonts (typefaces on this site). We may also disclose information if the law requires it.
Who can see what in the app
Studio staff and mentors see the members they work with. Other members see names, profile photos, and what members post to the feed and stories. Videos are stored privately and open only through short-lived links for signed-in members.
How long we keep it
Website inquiries: up to two years, or sooner on request. App data: for as long as the studio uses XAVARA. When a studio’s agreement ends, we delete its member data within 60 days, except records the law requires us to keep.
Security
Data is encrypted in transit. Sign-in uses a 6-digit passcode, and repeated wrong attempts lock the sign-in. Access is limited by role. No system is perfectly secure. If a breach affects your studio’s data, we notify the studio in writing within 72 hours of discovering it.
Members under 18
A member under 18 may use the app only after a parent or guardian signs the studio’s consent form. The app is not for children under 13, and we do not knowingly collect their information. If you think a child under 13 has an account, tell us and we will delete it.
Your choices and rights
You can ask to see, correct, or delete your information, or ask what we hold about you. Send the request to your studio or to alyssa@xavara.dance. We complete requests within 30 days, and we will not treat you differently for asking. California residents have these rights under California law, and we extend them to everyone.
Changes
If we change this policy, we update the date at the top. For material changes, we tell studios first.
